Position Summary: As an integral part of HR operations, provide comprehensive and professional support to our providers, caregivers, management, and HR partners. Provide a high touch customer service experience while providing accurate and timely responses to inquiries and requests. Conduct varied transactional and provider administrative and/or Human Resources related functions while maintaining necessary confidentiality of information. Education, License & Cert: Associates or bachelors degree in a related field preferred. High School diploma or equivalent required Experience: A minimum of 2-3 years progressive administrative experience, ideally in a healthcare or a Human Resources environment preferred. Strong computer skills, Microsoft Office software experience required (i.e. Excel, Word, PowerPoint, etc.). Working knowledge of Oracle cloud or affinity to learn cloud functions preferred. Must possess excellent verbal and written communication skills, and the ability to effectively engage will providers and caregivers at all levels of the organization. Exceptional customer service skills and the ability to multixe2x80x90task and prioritize work in accordance with changing deadlines is key, as is a strong aptitude for problem solving and developing/proposing practical solutions. Essential Functions: 1. As a member of the HR Service Center team, provide online phone coverage, respond to email inquiries and escalate complex issues according to established service guidelines. 2. Delight providers, caregivers and other internal/external customers with exceptional customer service by promptly addressing inquiries and fulfilling their needs, even anticipating them if possible. 3. In addition to addressing inquiries and addressing provider and/or caregiver administrative and/or HR related needs, perform a variety of provider administrative and/or HR operations tasks, which may include: Creating an application link, providing application assistance to provider candidates, and ensuring completeness of submitted application per requirements. Managing the onboarding process for individual permanent and per diem Guthrie Medical Group providers to ensure readiness to begin employment on their contracted start date, in collaboration with credentialing, enrollment and onboarding/retention colleagues. Monitoring progress for licensure; DEA; credentialing; and obtaining hospital privileges- alerting leadership should barriers be encountered. Responsible for accuracy and completeness of new providers credential file prior to start date, including I-9 completion. Initiating pre-arrival communication via personal outreach to incoming providers immediately upon the returned signed contract. Coordinating orientation sessions for newly hired per diem and locum providers. Working in collaboration with the hiring departments, GMG administration, IT, and Employee Health, ensures all regulatory requirements are satisfied. Notifying appropriate departments of provider start date, changes in practice and the associated distribution of credentials. Creating and updating individual Advance Practice Provider collaborative and supervisory agreements and registering with state boards. Managing PA Child Protective Services Law (CPSL) clearances for new providers. Tracking and managing regulatory requirements that new clearances be completed every five years. Ensuring all required certifications, medical and DEA licenses, and collaborative and supervisory agreements (prescriptive authority) are verified upon renewal, to include communicating with and collecting signatures/paperwork from all parties from the provider to GMG leadership as necessary. Tracking, auditing and maintaining database of provider time away xe2x80x93 to include meeting time (CME) and vacation time. Processing and monitoring reimbursement of CME expenses for all GMG providers in accordance with Guthrie policy. Logging CME credits. Maintaining and accurately updating caregiver data in Oracle cloud, related to new hires, terminations, licenses and certifications and other items as required. Providing various reports to providers and leadership as requested. Producing reporting from Oracle cloud as required. Suggesting and collaborating in the development and implementation of HR policies and procedures. Performing copying, mailing, and distribution of materials. Processing invoices as appropriate. Composing original correspondence as needed. Maintaining departmental filing system, including retrieving files from offsite archives as needed, and preparing files to be archived. Ordering office supplies for Human Resources. Processing invoices/requisition requests and relocation invoices/requests. Other Duties: Assist with and/or carry out special projects and/or provide high touch administrative support often of a highly confidential nature. Propose new procedures to enhance the efficiency of HR operations and to improve the overall caregiver experience. Possess the skills and abilities to complete varied tasks of an HR Operations Specialist as required. Performs other duties as assigned.
