Real Estate Office Assistant Responsibilities:xe2x80xa2 Answers incoming phone calls in a pleasant and professional manner, forward callers if necessary and/or takes detailed messages. xe2x80xa2 Provides a positive first impression to all guests that visit or call the management office xe2x80xa2 Provides excellent customer service to all customers including: tenants, vendors, contractors and guests. xe2x80xa2 Provides administrative support to on-site staff such as typing correspondence. xe2x80xa2 Process notices to residents xe2x80xa2 Maintains inventory and orders office supplies, furniture and equipment. xe2x80xa2 Assists with work order requests and prepares invoices for managerxe2x80x99s approval. xe2x80xa2 Handling with rent collections. xe2x80xa2 Coordinates moving schedules, both move-in & move out, and deliveries to the property.xe2x80xa2Maintains resident’s files which includes but is not limited to filing away file documents in a timely manner. xe2x80xa2 Processes, delivers, and follows up on legal notice as needed. xe2x80xa2 Maintains and updates the waiting list on a monthly basis. xe2x80xa2 Assists with inspections, preparations of re-certifications and leasing. xe2x80xa2 Processes renewals. xe2x80xa2 May assist in showing property and apartments to prospects as necessary. xe2x80xa2 Handles maintenance paperwork (i.e., filing reports, time sheets, schedules, appointments). xe2x80xa2 Other duties as assigned.
